Trade shows and exhibitions are a big investment of time and money. Turning up with a wrinkled tablecloth and a stack of photocopied flyers sends entirely the wrong message. The good news is that getting your print materials sorted is not complicated; it just needs a bit of planning.
Here is a checklist of what you are likely to need, along with a timeline for getting it all ordered.
Your Trade Show Print Checklist
1. Roller Banners
One or two roller banners form the backbone of most trade show stands. They are the first thing people see from across the room, so they need to be well designed and printed on good quality stock.
If you already have banners from a previous event, check them for damage, fading, or outdated information. A banner with an old website address or a logo from two redesigns ago is not doing you any favours.
2. Exhibition Stand or Backdrop

3. Flyers or Brochures
You need something to put in people's hands. A well-designed A5 or DL flyer with your key selling points, a clear call to action, and your contact details is the minimum. For more complex products or services, a folded brochure gives you room to explain what you do in more depth.
Print more than you think you need. Running out of flyers halfway through an event is frustrating and means missed opportunities. A few hundred extra costs very little.
4. Business Cards
Yes, people still use them. At a trade show, exchanging business cards is the quickest way to swap contact details with someone you have just had a conversation with. It is faster than typing an email address into a phone, and the other person walks away with something physical to remind them of your business.
Make sure your cards are current and printed on decent stock. A flimsy, poorly printed card makes a poor impression.
5. Posters
If your stand has wall space or you are using a shell scheme, posters are a cost-effective way to fill the area with branded visuals. A2 or A1 posters mounted on foam board look sharp and are easy to attach with Velcro strips.
6. Branded Bags or Folders
Giving visitors a branded bag or folder to carry your literature in is a smart move. Every person walking around the exhibition hall carrying your bag is a walking advert. Even a simple paper bag with your logo printed on it does the job.
7. Name Badges
Do not rely on the generic ones the event organisers hand out. Custom name badges with your branding, your team member's name, and their role make you look organised and approachable. They also help visitors remember who they spoke to when they are following up after the event.
8. Tablecloths and Runners
A branded tablecloth or runner turns a plain trestle table into part of your stand. A printed runner over a plain cloth is a more affordable option that still looks good. Make sure the cloth reaches the floor at the front so you can store boxes and bags out of sight underneath.
Timeline: When to Order
This is where most people come unstuck. Here is a sensible timeline working backwards from your event date:
- 4 weeks before: Finalise all designs and artwork. Send files for print. This gives you time for proofing and any revisions.
- 3 weeks before: Place your print orders. Standard turnaround for most items is 5 to 7 working days, but complex items like pop-up stands or fabric displays may take longer.
- 2 weeks before: Everything should be printed and delivered. Check each item carefully: are the colours right, is the text correct, do the roller banners retract smoothly?
- 1 week before: Do a dry run. Set up your stand at home or in the office. Make sure you have everything and know how it all fits together. Pack it all properly.
- Day before: Load the car. Double-check you have cable ties, Blu Tack, scissors, a marker pen, and a power strip. These small things save you on the day.
