What You Need to Print for an Event

Whether you are running a conference at the ICC Belfast, hosting a pop-up at St George's Market, or exhibiting at a trade show at the Eikon Centre, the right print materials make a real difference. They promote your event beforehand, make you look professional on the day, and help people remember you afterwards.

Here is a practical breakdown of what to order and when.

Before the Event: Promotion

Flyers

Flyers are the most cost-effective way to promote an event locally. An A5 flyer with the event name, date, time, location, and a reason to attend is all you need. Distribute them in local shops, cafes, community centres, and other businesses in the area.

For Belfast events, think about where your audience spends time. A tech meetup? Leave flyers in co-working spaces and university buildings. A food event? Cafes and delis. A business conference? Networking groups, business parks, and serviced offices.

Posters

A3 or A2 posters work well for venue windows, notice boards, and community spaces. Many venues across Belfast have notice boards or window space available if you ask. Print a batch of 20 to 50 and place them in the right spots rather than papering the city indiscriminately.

Postcards for Direct Mail

If you have a mailing list or a list of target businesses, a printed postcard invitation is far more likely to be read than an email. A 300gsm postcard with a clear event summary on the front and details on the back lands on someone's desk and stays there. Emails get archived in seconds.

On the Day: Looking Professional

Roller Banners

Roller banners are the single most useful event print product. They give you a professional, branded presence wherever you set up. Place one either side of your stand, behind your table, or at the entrance to your event space.

A good roller banner design includes your brand at the top (logo and name), a clear headline or tagline in the middle, and contact details or website at the bottom. Avoid cramming in too much text; people are walking past, not standing and reading.

Exhibition Stands

For larger events and trade shows, exhibition stands provide a bigger visual backdrop than roller banners. If you are attending something like MADE in Belfast, the Belfast Business Awards, or any of the major exhibitions at the Eikon Centre or Titanic Exhibition Centre, a full exhibition stand sets you apart from exhibitors using bare tables.

Business Cards

This sounds obvious, but it is the thing people most often forget. You will meet more potential contacts at a single event than in a normal month. Bring more business cards than you think you need. Running out halfway through the day is frustrating, and scribbling your number on a napkin does not leave a great impression.

After the Event: Follow-Up

The contacts you make at an event are only valuable if you follow up. A printed thank-you postcard sent in the post within a week of the event is memorable and personal. It is a small touch, but it sets you apart from everyone else who just sent a LinkedIn request.

Ordering Timeline

Here is a practical timeline for ordering event print materials:

  • Four to six weeks before: Order roller banners and exhibition stands. These need design time, production time, and a buffer for any revisions.
  • Three to four weeks before: Order promotional flyers and posters. This gives you time to distribute them before the event.
  • Two to three weeks before: Order postcards for direct mail invitations. Post them at least ten days before the event.
  • One to two weeks before: Check your business card stock. If you need a reprint, standard turnaround is two to three working days, so there is still time.

Leaving everything to the last week means rush fees and no time to fix problems. A bit of planning makes the whole process smoother and cheaper.

Common Mistakes

  • Ordering too late: The most common mistake by far. Give yourself at least three weeks for everything except business card reprints.
  • Not enough copies: Better to have 50 flyers left over than to run out. Print is cheap per unit; shortfall is expensive in missed opportunities.
  • Forgetting a call to action: Every piece of print should tell the reader what to do next: visit a website, scan a QR code, call a number, or attend your event.
  • Too much text on banners: A banner is not a brochure. Keep it to a headline, a few bullet points, and your contact information.
